This calculator asks for hours and miles first, then folds ingredients in, so the quote reflects the whole job.

What most cake quotes forget

Butter, flour and a box are the easy part. The costs that quietly eat a custom order are the ones nobody logs: the hour spent matching a swatch, the second trip because the venue would not open the hall before four, the fondant scraps, the card fee on a nine hundred dollar order, and the board and dowels for a tier you rebuilt after it cracked.

That is why decorating hours and delivery miles sit above the ingredient math here. Ingredient cost per serving is usually the number a baker already carries in their head. Hours are the number that moves most between a smooth buttercream tier and a sculpted dinosaur with hand painted scales.

Reading the margin per bench hour

The last figure is the one to watch. A quote can look healthy in total and still be poor work if it takes fourteen hours of sugar flowers to get there. Margin per bench hour shows what the order returns above the decorating rate you already paid yourself. Run it across a wedding cake, a sculpted birthday cake and a sheet cake and the pattern in your order book becomes obvious.

When one category consistently returns less per hour than everything else, the answer is a higher price, a simpler design or a polite no in June. Bakers who track this usually raise prices on sculpted and hand painted work first, because that is where the hours hide.

What target margin should a small cake shop use?

Start from your real overhead rather than a figure from a group chat. Add up rent, insurance, licensing, utilities, packaging waste and the unpaid hours you spend quoting, then set the margin high enough to cover them across a normal month. If the resulting price makes you flinch, the design is the lever before the margin is.

Does the mileage figure cover the vehicle properly?

Round trip miles are costed at seventy cents a mile as a rough stand in for fuel, wear and the setup kit you carry. If you run an older van or drive long rural routes, lift the hourly rate or the margin to compensate. Long venue drives with a setup wait should also add time to the decorating hours field.

Where do tastings and consultations belong?

If you charge for a tasting and credit it against the order, keep it out of this calculation so it does not distort the cake price. If you comp tastings for every inquiry, work out the average tasting cost per booked order and add it to your ingredient cost per serving.
